You will play a vital role in providing administrative support to our therapy team, focusing on accounts processing, client appointment coordination, and ensuring the smooth running of our paperless office.

Requirement
• Certificate III or above in office administration/business administration/bookkeeping or similar.
• Proven experience in processing and reconciling invoices.
• Strong analytical skills with excellent attention to detail for error correction.
• Ability to work independently, prioritize tasks, and manage time effectively, especially for daily invoicing.
• Proficiency in using Practice Management Software and other technology/workflow processes in a paperless environment.
• Excellent customer service and communication skills, with the ability to build rapport with parents and children.
• Understanding of the NDIS process and medical referral processes is highly beneficial.
• Experience working within the allied health or medical sector is highly regarded.
• Working with Children Check and NDIS Worker Screener (or willingness to obtain).
• High-level computer skills with a typing speed of 35-40 wpm and meticulous data entry accuracy.
• Reliable with a strong work ethic and ability to thrive in a fast-paced environment.
• Punctuality and flexibility to cover shifts within our operating hours.
• NSW Drivers Licence and own vehicle.

• Core operating hours include weekdays up to 7 pm and Saturdays from 7:30 am to 1:30 pm, with a flexible schedule required within these hours.
• Flexibility to cover sick and annual leave is essential.
• Working within a supportive team of administration support officers.

Responsibilities
• Maintain accurate financial records using the NDIS portal and Practice Management System.
• Process invoices and expenses efficiently.
• Handle correspondence and communication with clients and vendors professionally.
• Assist in preparing weekly financial reports and summaries.
• Provide general administrative support to the therapy team as needed.
• Manage opening and closing procedures of the practice.
• Process transactions, including emailing invoices and receipts and managing payments.
• Answer phone calls and coordinate client appointments effectively.
• Keep client databases up to date with accurate information.
• Set up new client profiles and manage their NDIS plans within the system.
• Liaise with clients to gather necessary documentation and follow up as required.
• Process and scan all incoming and outgoing correspondence into the paperless database.
• Follow up daily on payments and reconcile transactions to ensure the day is balanced.
• Assist with therapy group programs, including preparation, setup, cleanup, and support during sessions as needed.
• Complete administrative projects focused on systemisation and process improvement.
